Invoicing & Bill.com

After each pay period closes, you'll receive an invoice to review. Here's how the process works and what to do if you spot an issue.

How Invoicing Works

1Pay period closes

Pay periods run on a rolling 2-week cycle. When a period ends, your hours are calculated based on your Calendly availability snapshot from the cutoff date.

2Invoice is emailed to you

On the Monday after the pay period closes, you'll receive your invoice via email. The invoice includes a daily breakdown of your available hours, meetings held, your hourly rate, and total pay.

3Review and approve by EOD Monday

You have until end of day Monday to review your invoice. If everything looks correct, no action is needed. If you notice a discrepancy (missing hours, incorrect dates, etc.), reply to the email with the specific adjustment before the deadline.

4Invoice is submitted to Bill.com

After the Monday deadline, the invoice is submitted to Bill.com as-is. If no adjustments were requested, the original invoice stands. Payment is processed within 5 business days.

The Monday deadline is firm. If you don't flag an issue by EOD Monday, the invoice is submitted as generated. Make sure to check your email and review the numbers promptly.

Common Questions

What if I see incorrect hours?

Reply to the invoice email with the specific dates and times that look wrong. Include what your Calendly showed vs. what the invoice shows. We'll verify against the Calendly snapshot and correct before submitting.

What if I missed the Monday deadline?

The invoice has already been submitted. If there's a legitimate discrepancy, let us know and we'll apply an adjustment to the next pay period's invoice.

What counts as an adjustment?

Adjustments can include corrections for hours that were incorrectly recorded, cancelled hours that need to be deducted, or credits carried over from a prior period. Each adjustment includes a note explaining the reason.

When do I get paid?

Payment is processed through Bill.com within 5 business days after the pay period closes. The exact timing depends on your bank and Bill.com processing.
